A contract must be submitted for any expense in which an individual, group or vendor is asked to be paid for their services (ie: a speaker, DJ, instructor, etc.). Contracts are also required for any vendors that provide services for free/at zero cost.
Contracts are generated and signed by Student Development. Any student group wishing to contract an individual, group, or vendor must submit a request to student.clubs@mhc.cuny.edu at least 3 weeks in advance of the event. A price quote or invoice should be included, when appropriate.
The contract must be signed by the vendor and submitted to Macaulay at least 10 days prior to the event. A student or a student organization should not be signing any contracts. See additional conditions below.
- DJs cannot use the Macaulay sound system and must provide their own equipment.
- We cannot pay CUNY faculty.
- CUNY students are not eligible to be paid for services provided to Macaulay student groups, unless they own or are a part of an official business or LLC.
CONTRACTS: NO-FEE AGREEMENTS
Macaulay student organizations frequently engage members of the broader New York City community as guest speakers. When individuals participate in Macaulay programs or events on a voluntary basis and without compensation, the following procedure must be followed to ensure that expectations are clearly defined and documented:
Required Procedure
- Create the event in Club Macaulay, including the date, time, and location.
- Confirm participation of the guest speaker.
- Provide the form to the guest speaker for their review and signature.
- Complete the Speaker Agreement Form and submit it to the Office of Student Development.
- The Office of Student Development will provide final authorization by signing the completed form.
