A contract must be submitted for any expense in which an individual, group or vendor is asked to be paid for their services (ie: a speaker, DJ, instructor, etc.). Contracts are also required for any vendors that provide services for free\/at zero cost.\u00a0<\/span><\/p>\n

Contracts are generated and signed by Student Development. Any student group wishing to contract an individual, group, or vendor must submit a request to <\/span>student.clubs@mhc.cuny.edu<\/span><\/a> at least 3 weeks in advance of the event.<\/span> A price quote or invoice should be included, when appropriate.\u00a0<\/span><\/p>\n

The contract must be signed by the vendor and submitted to Macaulay at least 10 days prior to the event. A student or a student organization should not be signing any contracts. See additional conditions below.\u00a0<\/span><\/p>\n

  1. DJs cannot use the Macaulay sound system and must provide their own equipment.<\/span><\/li>\n
  2. We cannot pay CUNY faculty.\u00a0<\/span><\/li>\n
  3. CUNY students are not eligible to be paid for services provided to Macaulay student groups, unless they own or are a part of an official business or LLC.<\/span><\/li>\n<\/ol>\n

    CONTRACTS: NO-FEE AGREEMENTS<\/strong><\/p>\n

    \u00a0<\/strong>Macaulay student organizations frequently engage members of the broader New York City community as guest speakers. When individuals participate in Macaulay programs or events on a voluntary basis and without compensation, the following procedure must be followed to ensure that expectations are clearly defined and documented:<\/p>\n

    Required Procedure<\/strong><\/p>\n

      \n
    1. Create the event in Club Macaulay, including the date, time, and location.<\/li>\n
    2. Confirm participation of the guest speaker.<\/li>\n
    3. Provide the form to the guest speaker for their review and signature.<\/li>\n
    4. Complete the Speaker Agreement Form and submit it to the Office of Student Development.<\/li>\n
    5. The Office of Student Development will provide final authorization by signing the completed form.<\/li>\n<\/ol>\n
